Volunteer Board Positions
Time commitment: 2+ hours per week plus event volunteering.
PRESIDENT
- Provides leadership by encouraging board members to participate in meetings and activities and focusing the board’s activities on the organization’s mission
- Monitors the effectiveness of the board’s decision-making process
- Acts as a liaison between the league and other community leagues or civic organizations.
- Promotes the organization’s purpose in the community, to the media and acts as spokesperson for the league.
- Primary liaison between the League and the EFCL.
- Reviews the bylaws and recommend changes to the membership.
- Participate in the development of the league’s organizational plan, annual review and budget
- Approves the budget and other financial matters.
- Prepares and present required reports at board meetings and annual general meeting
- Recruits and provide orientation for new board members.
- Signing officer for cheques and other documents such as contracts and grant applications
VICE PRESIDENT
- Presides at meetings and at various functions in the President’s absence
- Signing authority
- Oversees annual review of the Bylaws, Policies and Procedures
- Carries out other duties assigned by the Board
- Prepares and present required reports at Board meetings
- Functions as president should the president be unable to fulfill duties of the position.
SECRETARY
- Attends all meetings of the Board
- Records accurate minutes of meetings including motions and decisions, and distributes to attendees in a timely manner
- Maintains records of the bylaws, minutes, lists of Directors, and other documents
- Responsible for Board’s correspondence under the direction of the Executive
- Distributes meeting agendas and notices
- Carries out other duties assigned by the Board
- Records all policies and other recommendations received from the board
- Participates in the development of the organizational plan, annual review and budget
- Signing officer for cheques and other documents such as contracts and grant applications
TREASURER
- Ensures all monies paid to the Society are deposited
- Provides a detailed account of revenues and expenditures at every Board and General Meeting and maintains financial records
- Responsible for audited statement of the financial position of the Society is prepared and presented at the Annual General Meeting
- Creates a budget and submits for approval
- Prepare and present required reports at board meetings.
- Prepare and present an annual report at the annual general meeting.
- Signing authority
- Issues cheques for all invoices
- Carries out other duties assigned by the Board
MEMBERSHIP DIRECTOR
- Responsible for the Membership campaign and orders required supplies from EFCL
- Keeps and maintain the membership lists and other records pertaining to membership
- Reviews and prepares policy and procedures with respect to membership
- Recommends fee structure and strategies to increase membership
- Tracks money intake for memberships sold and submit the money for deposit to the Treasurer
- Ensures compliance with the EFCL Code of Ethics with respect to selling memberships
- Prepares annual budget for membership and submits it to the Treasurer
- Reviews and prepares policy and procedures with respect to membership
- Reports monthly to the Board of Directors
PROGRAM DIRECTOR
- Identifies the needs of the Committee and then identify programming to meet those needs
- Liaise with organizations in the community to deliver programming
- Oversees program delivery
- Prepares an annual budget for programs and submits it to the Treasurer
- Reviews and prepares policies and procedures with respect to programs Reports monthly to the Board of Directors
- Submits to the board reporting on successes and opportunities with each program offered.
SOCIAL DIRECTOR
- Oversees all events, including Community League Day, Snowflake Festival, etc.
- Develops promotional materials for social events and arranging distribution
- Locate and arrange access to venues used for social events
- Coordinates volunteers required to run social events
- Facilitates third party contracts required to run social events (e.g. DJ for dance, etc.)
- Prepares an annual budget and submit to the Treasurer
- Reviews and prepares policies and procedures with respect to social activities
- Reports monthly to the Board of Directors
COMMUNICATIONS DIRECTOR
- Identifies effective communications strategies and utilizes the appropriate tools to communicate to the membership and area residents to promote the League and its purposes and goals
- Creates newsletter and participates in collecting articles for the newsletter Oversees the distribution of the newsletter
- Works with Directors and Committee members to promote events, programs and initiatives by addressing creation and distribution of posters, signage, marketing materials and advertising
- Prepares an annual budget for communications and submits to the Treasurer Reviews and prepare policies and procedures with respect to communications Report monthly to the Board
FUNDRAISING DIRECTOR
- Identify funding opportunities available to Community Leagues, including submission deadlines, contact information and application criteria
- Assess funding needs and identify available grants that may meet these needs.
- Complete and submit application forms for those grant funds that the Community League has approved
- Maintain records of completed submission forms and correspondence with funders. Submit final reporting and ensure Community League is in good standing
- Recruit and organize volunteers for fundraisers
- Prepare and present required reports at board meetings.
- Prepare and present an annual report at the annual general meeting
SPORTS DIRECTOR
- Identify needs in the community for sports programming and identify how those needs can be met through sports programming
- Review and prepare procedures related to programs and share information with Board
- Recruit volunteers to support sports programming
- Prepare and present required reports at board and annual general meetings
CIVICS DIRECTOR
- Coordinates submissions and inquiries to local, provincial and federal governments and other agencies
- Maintains contact with local politicians, school boards, and others
- Establishes ad hoc committees to address specific neighbourhood concerns
- Monitors land use, transportation, safety issues and other civic concerns
- Reports on civic matters relating to neighborhoods of the Horizon Community League
